    Balance Payment Due

    1. Payment of Remaining Balance

The remaining balance for all services rendered by Big Apple Moving & Storage Inc. is due in full 1 business day prior to your scheduled move, unless otherwise stated in your contract. Failure to settle the outstanding balance may result in delays or withholding of the service.

    1. Disputes Regarding Charges

If you believe there is a discrepancy or issue with the final charges, you must notify us immediately before making the payment. Any disputes raised after payment has been made will be handled in accordance with our claims process, but full payment must be received prior to any dispute resolution.

    1. Payment Deadline and Grace Period

While payment is due upon completion of services, Big Apple Moving & Storage Inc. may, at its sole discretion, allow a short grace period for balance payment in certain cases. However, this must be pre-approved and documented by the Company prior to the move. Any extensions granted will be subject to applicable late payment fees if the balance is not settled within the agreed-upon timeframe.

    Additional Charges

In certain circumstances, additional charges may apply to your move or storage services. These charges are based on factors that go beyond the standard scope of services initially agreed upon. The following outlines scenarios where additional fees may be incurred:

    Excessive Weight or Volume

If the actual weight or volume of your items exceeds the estimate provided during the booking process, Big Apple Moving & Storage Inc. reserves the right to charge additional fees based on the excess. This can occur if:

Additional items not included in the original inventory list are moved.

The estimated space required exceeds what was initially calculated.

    Extra Stops

If the customer requests additional stops (either pickup or delivery) that were not included in the initial booking, additional charges may apply. These fees are calculated based on the extra time, labor, and distance required to accommodate the extra stops.

    Long Carry or Stairs

Additional fees may be applied in cases where movers must carry items over an extended distance from the property to the truck (typically more than 75 feet) or navigate multiple flights of stairs in buildings without an elevator. Charges are calculated based on the number of flights of stairs or the length of the carry.

    Packing and Unpacking Services

If customers request packing or unpacking services that were not originally included in the booking, additional charges will apply. This includes:

Last-minute requests for packing materials or packing labor.

Partial or full packing services that were not agreed upon during the original booking.

Special Handling for Fragile or High-Value Items

Extra fees may apply if the customer requires special handling or crating for fragile or high-value items such as antiques, artwork, pianos, or electronics. These fees are calculated based on the specific requirements for safely moving these items.

    Disassembly and Reassembly of Furniture

If disassembly or reassembly of furniture is required and was not part of the original service agreement, additional charges may apply. This includes disassembling larger pieces of furniture to ensure they fit through doors or narrow spaces and reassembling them at the new location.

    Waiting Time

If the moving crew is delayed due to circumstances outside of the Company’s control (e.g., customer unavailability, property access issues, or building restrictions), a waiting time fee may be charged. Waiting time is calculated by the hour or fraction thereof, as specified in the contract.

    Storage Fees

If storage is required due to delays in unloading or delivery, or if the customer requests temporary or extended storage services beyond what was initially booked, additional storage fees will apply. These charges are based on the duration and volume of the items stored.

    Last-Minute Changes

Any changes to the service (such as change in moving date, time window, or destination) requested less than 48 hours before the move may incur additional charges, depending on the Company’s availability and operational impact.

    Hazardous or Difficult Conditions

If the moving conditions are hazardous (e.g., inclement weather, construction zones, or unsafe environments) or if access to the property is obstructed (e.g., narrow streets, lack of parking, or remote locations), additional charges may be applied based on the added difficulty and risk.

    Hourly-Based Quote

For moves and services billed on an hourly basis, Big Apple Moving & Storage Inc. provides an estimated cost based on the anticipated time required to complete the service. The following terms apply to all hourly-based quotes:

    1. Hourly Rate

The hourly rate includes the cost of labor, equipment, and standard moving supplies required to perform the move. Rates are calculated per hour and are subject to a minimum service time, which will be outlined in your booking agreement. After the minimum time has been met, billing is calculated in increments of 30 minutes.

    1. Estimate Versus Actual Time

The hourly quote provided is an estimate and may vary based on actual time required to complete the move. Factors affecting the time include, but are not limited to, distance between locations, number of items, complexity of the move, traffic conditions, building access restrictions, and any additional services requested on the day of the move. Customers are responsible for paying the total time required to complete the move, even if it exceeds the estimated quote.

    1. Minimum Hours Requirement

All hourly-based services are subject to a minimum time requirement, which will be specified in the booking confirmation. If the move is completed in less time than the minimum requirement, the customer will still be billed for the minimum hours.

    1. Waiting Time and Delays

Waiting time incurred due to delays outside the Company’s control, such as building access restrictions, elevator availability, customer delays, or unforeseen issues, will be billed at the agreed-upon hourly rate. Waiting time is included as part of the total billable time for hourly-based services.

    1. Additional Services and Charges

Any additional services requested on the day of the move, such as extra packing assistance, disassembly/reassembly of furniture, or additional stops, will add to the total time billed and are charged at the same hourly rate. Any other applicable fees, such as tolls, parking permits, or moving supplies requested on the day, will be charged in addition to the hourly rate.

    6. Payment Due

Payment for hourly-based moves is due in full for the time requirement before the service is performed. The total billable time will be rounded to the nearest 30-minute increment. The customer is required to settle the balance before the additional paid time is ended.

    1. Customer Responsibility

Customers are encouraged to prepare as much as possible before the move to help reduce the total time and cost of an hourly-based move. This may include ensuring all items are packed and ready, securing parking or building access, and providing clear directions and inventory lists to the moving team.

    Fixed Rate-Based Quote

For moves and services billed at a fixed rate, Big Apple Moving & Storage Inc. offers a guaranteed price based on specific details provided by the customer at the time of booking. The following terms apply to all fixed rate-based quotes:

    1. Fixed Rate Calculation

The fixed rate is determined based on key factors provided by the customer, including but not limited to:

    • The list of items to be moved (inventory)
    • Distance between the origin and destination
    • Service requirements (e.g., packing, unpacking, disassembly, reassembly)
    • Access and logistical details (e.g., stairs, elevators, parking availability)

Once a fixed rate quote is confirmed, it will not change, provided the scope of services and details remain the same as agreed upon in the original contract.

    2. Scope of Services

The fixed rate covers only the services and conditions specified in the original quote. Any requests for additional services or changes to the scope on or before moving day may result in additional charges. Examples include:

    • Changes to inventory or additional items not included in the original list
    • Extra stops, added service requirements, or complex access conditions
    • Any special handling or packing materials requested on the day of the move

    3. Accuracy of Information

The fixed rate quote is based on the accuracy of the information provided by the customer. If there are discrepancies in the details given—such as inaccurate inventory, unexpected access limitations, or other factors that affect the move’s complexity—additional charges may apply. The customer is encouraged to provide detailed and accurate information during the booking process to ensure the fixed rate remains valid.

    4. Non-Adjustable Price Guarantee

Once a fixed rate is agreed upon, it is guaranteed and will not be altered due to factors such as time taken to complete the move, traffic conditions, or minor delays, provided there are no changes to the agreed-upon service scope. This provides customers with the assurance of a predetermined total cost.

    5. Customer Responsibility

To maintain the accuracy of the fixed rate quote, the customer must ensure that:

    • All inventory information is accurate and complete.
    • Access points, parking availability, and special handling needs are communicated in advance.
    • Any changes to the moving details are communicated as early as possible, as they may impact the fixed rate.

    6. Additional Charges for Unforeseen Circumstances

If unforeseen circumstances arise on moving day that impact the complexity of the move (e.g., additional items, limited access to property, or structural issues requiring extra labor or equipment), Big Apple Moving & Storage Inc. reserves the right to assess and communicate additional charges before proceeding.

    Billing for Storage Services

For customers utilizing Big Apple Moving & Storage Inc.’s storage services, the following billing terms and conditions apply. These terms outline the costs, payment schedules, and customer responsibilities associated with our short-term and long-term storage solutions.

    1. Storage Fees

Storage fees are determined based on the volume of items, duration of storage, and any additional services required. Storage is billed on a monthly basis, and fees will be outlined in the initial storage agreement. Customers are responsible for the total cost of storage for the agreed-upon duration, with charges accruing from the date items are stored.

    2. Billing Cycle and Payment Due Date

The billing cycle for storage services begins on the date items are moved into storage and recurs monthly. Payment is due at the start of each billing cycle, with charges automatically billed to the customer’s preferred payment method on file. Customers will receive an invoice or notification prior to the billing date to review storage fees.

    3. Late Payment and Fees

If a payment is not received by the due date, a 25% of the monthly outstanding balance or the maximum allowed by law and will be specified in your invoice or as otherwise communicated to you in writing. In additional penalties may include but not limited to:

    • Restriction of access to stored items until payment is received.
    • Additional late fees for each billing period past due.
    • The Company reserves the right to enforce lien procedures in compliance with applicable state laws, which may result in the sale or disposal of stored items to cover unpaid fees.

    4. Access to Stored Items

Customers may access their stored items by scheduling an appointment with Big Apple Moving & Storage Inc. Access is subject to the Company’s availability and requires advance notice. Additional handling fees may apply if access requires labor or retrieval of specific items.

    5. Early Termination and Removal of Items

If customers wish to remove their items from storage before the end of the current billing cycle, they may do so by providing advance notice to the Company. Partial months will not be prorated; customers are responsible for the full month’s storage fee if items are removed mid-cycle.

    6. Extension of Storage Duration

Should customers require an extension of the storage period, they must notify Big Apple Moving & Storage Inc. in advance. Extensions are subject to availability and may be billed at the same rate or adjusted depending on current pricing and storage conditions.

    7. Additional Services and Handling Fees

Additional services, such as special handling, repacking, or inventory management, are not included in the standard storage fee and will be billed separately. Customers will be notified of these charges in advance, and payment will be due upon service completion.

    8. Insurance and Liability

Big Apple Moving & Storage Inc. offers basic liability protection for stored items. Additional insurance may be purchased by the customer for enhanced coverage from an insurance company. Storage fees do not include insurance costs, and customers are encouraged to review their coverage options to ensure adequate protection for stored goods.

Big Apple Moving & Storage Inc. may, from time to time, offer promotional campaigns, discounts, or special pricing for services. The following terms and conditions apply to any promotions or discounts provided by the Company:

    1. Eligibility

Promotional offers are available only to customers who meet these eligibility criteria, and proof of eligibility may be required.

    2. Non-Transferable and Non-Exchangeable

Discounts are only applicable to the specific services or time periods designated in the promotional details and may not be applied retroactively or combined with other offers unless explicitly stated.

    3. Limitations and Expiry

Each promotion will have a specified expiration date, after which the discount will no longer be valid. Discounts cannot be applied to bookings or services outside of the promotional period.

    4. One-Time Use

    5. Application of Discounts

    Customer Responsibilities

Big Apple Moving & Storage Inc. strives to provide high-quality service, and our ability to do so depends on clear communication and cooperation from our customers. To ensure a smooth and efficient moving or storage experience, we outline the following responsibilities and expectations for customers:

    1. Accurate and Complete Information

Customers are responsible for providing accurate and complete information regarding their move or storage needs. This includes, but is not limited to, the full inventory of items, addresses, access details, and any special requirements for fragile or high-value items. Discrepancies in the information provided may result in additional charges or delays.

    2. Preparation of Items for Transport

Customers are expected to pack and prepare their items for transport unless they have arranged for professional packing services with Big Apple Moving & Storage Inc. Items should be securely packed to prevent damage, and all furniture or large items should be disassembled, if necessary, to facilitate a safe and efficient move. The Company is not liable for damage to items that were improperly packed by the customer.

    3. Timely Availability

Customers must be available at the agreed-upon time and location for the start of services and ensure that property access (e.g., elevators, parking) is coordinated ahead of time. Delays caused by lack of access or unavailability may result in additional waiting time fees.

    4. Compliance with Regulations

Customers are expected to comply with all relevant regulations, including those set forth by the Federal Motor Carrier Safety Administration (FMCSA). For information on consumer rights and responsibilities during the moving process, customers are encouraged to review resources provided by the FMCSA, available at Protect Your Move. Understanding these rights can help protect customers from potential issues and ensure transparency throughout the moving process.

    5. Payment of Fees and Charges

All fees and charges must be paid in full as per the contract terms. Customers are responsible for ensuring payment is completed by the due date to avoid delays or additional fees. Any balances owed must be settled before or upon completion of the move.

    6. Prohibited Items

It is the responsibility of the customer to ensure that no prohibited items, including hazardous materials, perishables, or illegal goods, are included in the shipment or stored with Big Apple Moving & Storage Inc. Prohibited items will not be transported or stored, and failure to comply may result in termination of services and additional fees.

    7. Communication of Changes

Any changes to the scope of services, including additional items, stops, or access restrictions, must be communicated to the Company as soon as possible. Last-minute adjustments may incur additional charges and affect the overall timeline of the service.

    8. Insurance and Liability Protection

Customers are responsible for understanding their insurance options and securing appropriate liability protection for their items. While Big Apple Moving & Storage Inc. offers basic coverage, customers are encouraged to review and purchase additional coverage if necessary to protect valuable or irreplaceable items.

    9. Adherence to Service Terms

Customers are expected to adhere to all terms outlined in the contract and cooperate with Big Apple Moving & Storage Inc. to facilitate a smooth and efficient service experience. Failure to comply with any of these responsibilities may result in additional charges, delays, or termination of service at the Company’s discretion.

    BASIC Insurance and Valuation Coverage

Big Apple Moving & Storage Inc. offers basic coverage for the items we transport or store, providing customers with a minimum level of protection in the event of damage or loss. Please note that this basic insurance coverage has limitations and may not fully cover high-value or irreplaceable items. The following outlines the terms of our basic coverage:

    1. Basic Coverage Overview

Basic coverage, also known as “valuation coverage,” is included in all moving services at no additional cost. This coverage provides a limited liability rate of $0.60 per pound per item for any item that is lost or damaged while in the care of Big Apple Moving & Storage Inc. This valuation applies regardless of the item’s actual market value.

    2. Limitations of Basic Coverage

The basic coverage does not guarantee full replacement value or repair costs. It is designed to provide minimal compensation for damaged or lost items based on weight rather than actual value. As such, customers should consider obtaining additional insurance if they have high-value, delicate, or irreplaceable items that require enhanced protection.

    3. Items Not Covered

Basic coverage does not apply to certain categories of items, including:

    • Fragile or perishable goods (e.g., food, plants).
    • Hazardous materials or prohibited items.
    • Valuables such as jewelry, cash, securities, and documents.
    • Personal or sentimental items with high subjective value but low monetary value.

These items should be transported or insured separately by the customer, as Big Apple Moving & Storage Inc. is not liable for damage or loss of these categories under basic coverage.

    4. Claims Process

If a customer believes an item has been damaged or lost during the moving or storage process, they must file a claim with Big Apple Moving & Storage Inc. as soon as possible. The following outlines the basic claims process:

    • The customer must notify Big Apple Moving & Storage Inc. of the damage or loss within seven (7) days of receiving their items or realizing the loss.
    • The Company will assess the claim and determine if it qualifies under the basic coverage.
    • Compensation will be provided at the rate of $0.60 per pound per item, based on the item’s weight.

    5. Additional Insurance Options

For customers seeking greater protection, Big Apple Moving & Storage Inc. strongly recommends purchasing additional insurance coverage through a third-party insurance provider. Additional coverage can provide full replacement value or repair costs for high-value items, offering peace of mind that is not guaranteed by basic coverage alone.

    6. Customer Responsibility

It is the customer’s responsibility to review the terms of basic coverage and decide if additional insurance is needed. Big Apple Moving & Storage Inc. cannot be held liable for losses exceeding the basic coverage limit if the customer chooses not to obtain supplementary insurance.

    7. No Warranty or Guarantee

Basic coverage is a valuation protection and not an insurance policy, and it does not imply any warranty or guarantee by Big Apple Moving & Storage Inc. Customers acknowledge that they understand the limitations of basic coverage and that it may not fully cover all potential risks involved in the moving or storage process.

Moving COI (Certificate of Liability Insurance)

Many buildings, particularly in urban areas, require a Certificate of Liability Insurance (COI) from moving companies to allow access on moving day. A COI provides proof that Big Apple Moving & Storage Inc. has the necessary insurance coverage in place to cover potential damages or liabilities to the property during the moving process. The following outlines the procedures and requirements for obtaining a COI for your move:

    1. Requesting a COI

If a COI is required by your building management or landlord, it is the customer’s responsibility to inform Big Apple Moving & Storage Inc. as soon as possible. We recommend notifying us of this requirement during the initial booking process to avoid any last-minute delays on moving day.

To request a COI, customers must provide the following information:

    • The name and contact information of the property manager or landlord.
    • The exact wording or any specific details the building requires on the COI.
    • The address of the building and any additional parties (such as property management companies) that must be listed on the certificate.

    2. COI Processing Time

Big Apple Moving & Storage Inc. requires at least three (3) business days to process a COI request. COIs are typically issued within this timeframe, provided all required information is received. Last-minute requests may incur additional fees and cannot be guaranteed if the three-business-day requirement is not met.

    3. Coverage Provided by COI

The COI provided by Big Apple Moving & Storage Inc. includes liability coverage for potential property damage or bodily injury that could occur during the move. This coverage is limited to the premises specified in the COI and applies only to the activities performed by Big Apple Moving & Storage Inc. as part of the moving services.

    4. Additional Fees for COI

There is generally no fee for issuing a standard COI if the request is made within the required notice period. However, expedited COI requests (less than three business days) or COIs requiring complex additional insured clauses or coverage may incur a nominal processing fee, which will be communicated to the customer in advance.

    5. Customer Responsibility

Customers are responsible for confirming the COI requirements with their building management prior to the move and ensuring Big Apple Moving & Storage Inc. is informed of all necessary details. The Company is not liable for any move delays or access issues resulting from a lack of COI or incorrect information provided for the COI.

    6. Limitations of COI

The COI issued by Big Apple Moving & Storage Inc. provides coverage specifically for property management requirements and does not cover personal belongings or other items being moved. Our moving staff undergoes comprehensive training to handle items safely and securely. This includes proper lifting techniques, equipment operation, and safety protocols to minimize risks during loading, transport, and unloading.

    2. Protective Equipment and Materials

To prevent damage and ensure safe handling, we use high-quality protective materials, such as blankets, straps, dollies, and padding for furniture and fragile items. Special handling equipment is used for heavy or high-value items to reduce the risk of damage during transport.

    3. Safe Vehicle Operation

All moving trucks are regularly inspected, serviced, and cleaned to meet safety standards. Our drivers are experienced and trained in safe driving practices to ensure the secure transport of your items. Vehicles are equipped with GPS and tracking systems to monitor real-time location and ensure timely delivery.

Big Apple Moving & Storage Inc. follows all recommended health guidelines, including protocols for COVID-19 and other communicable illnesses. Our team is equipped with masks, gloves, and hand sanitizers as necessary, and trucks and equipment are sanitized regularly to maintain a safe environment for both staff and customers.

    5. Customer Safety Precautions

We ask customers to take measures to ensure a safe moving environment. This includes:

    • Clearing pathways in and out of the property.
    • Keeping pets and young children in a secure area during the move.
    • Informing our team in advance of any potential hazards on the premises (e.g., uneven floors, low ceilings, or narrow doorways).

    6. Item Inspection and Verification

Our team carefully inspects and verifies the condition of items before loading and after unloading. Customers are encouraged to verify the condition of their items upon delivery and notify our team of any concerns immediately. This helps ensure any potential damage or issues are identified and addressed as early as possible.

    7. Compliance with Regulatory Standards

Big Apple Moving & Storage Inc. complies with all federal, state, and local regulations regarding transportation and safety. We follow the guidelines set forth by the U.S. Department of Transportation and other relevant agencies to ensure the safety and security of all parties involved in our moving and storage services.

Customers are encouraged to secure additional insurance if they have high-value or irreplaceable items.

    Long Distance Moving Services

Big Apple Moving & Storage Inc. offers comprehensive long-distance moving services designed to safely and efficiently transport your belongings over extended distances. The following terms and conditions apply specifically to long-distance moves:

    1. Definition of Long-Distance Move

A long-distance move is defined as any relocation that crosses state lines or exceeds a distance of 100 miles from the point of origin. These moves are subject to different regulations and operational requirements than local moves.

    2. Binding Quote and Pricing

Long-distance moves are typically priced based on factors such as the weight and volume of items, distance traveled, and any additional services requested. A binding quote will be provided based on the inventory and specific details supplied by the customer at the time of booking. Any changes to inventory or additional services requested after booking may affect the final cost.

    3. Estimated Delivery Window

An estimated delivery window will be provided based on the destination, route, and any scheduled stops. While we strive to meet these timelines, the actual delivery date may vary due to factors such as weather conditions, road restrictions, or unforeseen delays. Big Apple Moving & Storage Inc. will communicate any delays and work with the customer to provide updated delivery information.

    4. Exclusive vs. Consolidated Shipping

Customers may choose between exclusive or consolidated shipping options for long-distance moves:

    • Exclusive Shipping: The customer’s belongings are transported in a dedicated truck, and the shipment moves directly from the origin to the destination without additional stops. Exclusive shipping may incur a higher fee but offers faster delivery and added control over the timeline.
    • Consolidated Shipping: The customer’s belongings are combined with shipments from other customers moving in the same direction. This option is more cost-effective but may involve additional stops and a longer delivery window.

    5. Access Requirements and Restrictions

It is the customer’s responsibility to ensure that Big Apple Moving & Storage Inc. is informed of any special access requirements at the destination, including parking permits, elevator reservations, or narrow access roads. If access limitations result in additional labor or equipment needs, extra charges may apply.

    16.6. Storage in Transit (SIT)

For long-distance moves with flexible delivery dates, customers may request storage in transit (SIT) services if they need their belongings held temporarily before final delivery. SIT fees are calculated based on the volume and duration of storage and will be outlined in the quote. This option is available on a case-by-case basis, subject to space availability.

    7. Insurance and Protection for Long-Distance Moves

All long-distance moves include basic liability coverage of $0.60 per pound per item. However, due to the distance involved and potential for extended transit times, customers are encouraged to consider purchasing additional insurance coverage through a third-party provider to protect valuable or high-risk items fully.

    8. Communication During Transit

Big Apple Moving & Storage Inc. provides regular updates on the status of long-distance shipments. Customers may contact us at any time for updates on their move. Our team will inform the customer of the anticipated delivery date and any significant updates along the route.

    9. Unforeseen Delays and Force Majeure

While we do our best to adhere to scheduled timelines, some delays may occur due to circumstances beyond our control, such as inclement weather, traffic accidents, or government restrictions. Big Apple Moving & Storage Inc. is not liable for delays caused by such events, but we will communicate any changes to the delivery schedule promptly and work to mitigate delays where possible.

    10. Customer Responsibility

Customers are encouraged to discuss specific concerns about valuable items with our team to determine if additional protection is required.

    5. Packing Materials and Additional Charges

Packing materials used during the service are typically included in the initial service quote. However, additional charges may apply if:

    • Custom crating or specialty materials are required for delicate items.
    • Extra packing materials are needed due to customer requests or unforeseen inventory.

Customers will be informed of any additional charges prior to service completion.

    8. Timeframe and Scheduling
